Report on: the necessity of an additional receptionist for the Overseas Travel Department

Introduction

This reports sets out to assess the necessity to recruit a new receptionist for the Overseas Travel de partment.

Reasons of the recruitment

More and more people are interested in travelling abroad and our department, which deals with all over seas travel, is getting an increase of about 5% additional enquiries every day.

The c ustomer’s first point of contact with us is with our receptionists, either by telephone or face-to-face, and our present receptionist, though a very conscientious worker, simply cannot keep up with the continual increase in enquiries.

Duties

We badly need an additional receptionist, to share the work of the existing receptionist, dealing with enquiries by telephone, fax and e-mail as well as greeting clients who call in person and directing t hem to the appropriate Travel Advisors in our department.

Two receptionists will mean that there will be minimum delay in dealing with customers. We shall also be able to keep our reception desk open throughout the day, instead of having to close it for lunch as at present. Many customers are free only at lunchtime and our receptionists can have staggering lunch breaks.

The cost of employing an additional receptionist will be more than covered by the additional business we will be able to attract and handle.

Qualities

The additional receptionist should be fluent in Putonghua and English and a good knowledge of Japanese

The new receptionist should be very well-presented and able to handle a wide variety of actual and pot ential clients in a friendly way. She/He should be able to work well with colleagues and should be ful ly computer-literate. Patience, empathy and understanding of individual needs are further essential qu alities.

Recommendation

It is recommended, therefore, a newly appointed receptionist is badly needed to handle the large incre ase of enquiries and assure us of our expansion plans in overseas markets.

What are the advantages and disadvantages of each company structure?

Hierarchical organisation

Advantages: High level of control.

Disadvantages: Workers lack the authority and motivation to improve processes. Management’s response time is slow. Only suitable for stable business environments.

Entrepreneurial organisation

Advantages: Totally centralised authority and direct contact between owner and employees ensure respon siveness to external changes.

Disadvantages: Only suitable for small companies.

Information age organisation

Advantages: Allows speed of response within a large complex structure. Retain control but gives quick access to information. Employees can constantly refine their actions strategies. Organisational contro l is dynamic.

Disadvantages: Although IT makes all these advantages possible, it cannot motivate people to use the i nformation they have.

3. Answer the following questions.

(1) Operating processes are concerned with how a company produces and sells its products and servic es. Management processes are concerned with how a company directs and controls these operations. (2) Jobs are standardised and separated into sequential steps which are carried out under direct su pervision.

(3) There is daily personal interaction between the owner and employees.

(4) Access to information alone cannot motivate people to use that information on behalf on the org anisation. Orgainsiations need to ensure that the information is used by managers and employees to acc omplish the same goals.

Resource Planning Manager: Assessment of Suitability for Home-based Working

Introduction

The purpose of this report is to assess the suitability of the position as Resource Planning Manager f or home-based working.

Findings

The working pattern and that of colleagues in Resource Planning Department varies from week to week. D uring certain periods a large proportion of time is spent doing fieldwork. This is followed by office-based work collating and recording the data collected. Once the results have been recorded, I proofrea d the colour copies of all reports and maps.

As regards communication with colleagues, department meetings are held once a fortnight. At all other times, the individual members of the team communicate either face-to-face or by phone, depending on th eir location. Apart from official meetings, the same results can be achieved either in the office or w orking elsewhere.
