一、背景知识

接打电话是秘书工作当中十分重要的一部分。秘书的对外形象代表着公司的形象。因此,在接打电话时应注意礼貌和高效。首先,应尽快向对方说明自己的身份。如果需要找人,应请对方“稍等”,如果被找的人不在,应有礼貌地给予回答;另外,打电话应使用简洁、明快、有礼貌的语言。掌握了接听电话的礼仪,让对方在秘书亲切的话语中心平气和地谈事情。通话结束后,对方会对公司留有极佳的印象。

2.would like表示“想要”和want的意思相近,但would like的语气要婉转,常表示客气

的请示或建议。用法如下:

1)表示想要某物:would like sth.

2)表示想要做某事:would like to do sth.

e.g. I would like to have supper at home. 我想在家吃晚饭。

7.supply sb. with sth.向某人提供某物,相当于supply sth. to sb.:Our farm supplies the

On the phone, the image of a company relies heavily on the speaker?s speaking skills. The customer?s impression of the company is determined com pletely by the speaker?s voice and choice of words. Telephoning skills are not a natural talent, but a learned one. Here are some tips to help a secretary communicate better through the telephone.

Speak clearly and more slowly than usual. Be particularly clear when saying one?s name and the name of one?s organization, and repeat them, particularly at the end of the call.

Speak with more energy. Telephones tend to make one?s voice sound less lively as it really is, so try to show increased interest in and enthusiasm for what the secretary is saying.

When necessary ‘smile with one’s voice’. A smile on one?s face is reflected in one?s voice, and will help the secretary avoid speaking in the same tone all the time.

Be and sound polite, professional, understanding, helpful, and friendly. Much of the secret is simply good manners and attention. Be a good listener.

Explain things in an understandable way. Don?t use special terms or assume that a customer knows the business or industry. The secretary should speak without accent to make the

communication easier.

Make it easy to be contacted. Customers shouldn?t have to talk to half a dozen people before they can find one who can help. They shouldn?t be given another number or told to call back later. Usually, they should be transferred through to the right person, or if that?s impossible, the right person should call them back.

Respond promptly to phone calls. Prompt response will give a customer the impression that one?s company is very efficient. And if the secretary promises to call back, he or she should do this as soon as possible.

Know how to use all the buttons on the phone, and in particular how to transfer a call without losing it. Simple things like these make all the difference when dealing with people over the phone.

Section 3 Writing a Letter of Introduction

A: In today?s recruitment examination for secretary, we are required to write a letter to introduce a new employee to the company?s business associate. But I don?t think I?ve done a good job.

B: Why not? A letter of introduction is not very difficult to write because the purpose of such a letter is only to introduce one person to another. It is not a reference letter to present a person?s qualifications, so an introductory letter must be written to the point.

A: What should be included in it?

B: Three points are necessary for it. One is to provide the full name of the person being introduced.

The second is to give an explanation for the purpose and reason of the introduction. The third is to make a very brief description of the person being introduced. Some letters may have a fourth part to express the writer?s appreciation.

A: Is there anything to pay special attention to?

B: Well, maybe, when you describe the person being introduced, try to make him or her sound interesting rather than overdoing the compliment.

外交的目的是维护本国利益和实现对外政策。外交的方式是和平方式,主要是谈判和不同形式的对话,包括参加国际组织和会议。外交的行为者是国家的正式代表,包括外交人员和机构,也包括国家领导人多种方式的直接参与。外交是和平处理国家关系的科学、艺术和技巧。

涉外秘书参与或从事的任何国际交往、国际商务工作与外交工作有很多相似之处,多数时候,都是代表本单位与相关单位搞“外交”。学习一些外交知识,了解外交机构,对做好外事工作有很大帮助,尤其是身在国外时,对外交机构的依赖和必要时向其求助更是必不可少的。

During the period of the Warring States (beginning about the middle of the fifth century BC), a political and military alliance against the Kingdom of Qin known in history as …the Vertical Alliance? was formed by the Kingdoms of Qi, Chu,Yan, Han, Zhao, and Wei. And a counter alliance, known as …the Horizontal Alliance?, was organized by Qin and its followers.
